Privacy Policy

How we collect, use, and protect personal information on this website, and the choices you have over it.

The short version
  • We collect what you give us when you book a call or email us, plus standard technical data every website receives.
  • We use advertising and analytics cookies, including the Meta Pixel, to measure and target advertising.
  • We do not sell personal information for money. Advertising cookies may still count as "sharing" under California law, and you can opt out below.
  • Client data we process while delivering our services belongs to the client, and we handle it under that client's agreement rather than this policy.

This policy explains how AiDA Sales Systems ("AiDA", "we", "us") handles personal information in connection with aidasalessystems.com and the enquiries and bookings that come through it. It applies to this website and our sales process. It does not govern data we process on behalf of a client while delivering services to them, which is covered in section 9.

1. Information we collect

Information you give us

When you book a strategy call, email us, or call us, we receive the details you choose to provide. Typically that is your name, business email address, phone number, company name, and anything you write in a message or booking form. Scheduling on this site is handled through an embedded booking widget provided by our CRM (see section 3), so information entered into that widget is collected by that provider and passed to us.

Information collected automatically

Like most websites, we and our providers receive standard technical information when you visit, including IP address, browser and device type, operating system, referring URL, the pages you view, and the dates and times of those visits. Our host also keeps ordinary server logs for security and reliability.

Cookies and similar technologies

We use cookies and similar technologies, including tracking pixels, to understand how the site is used and to measure and target advertising. These are described in section 4, along with how to turn them off.

What we do not ask for

This site is aimed at businesses. We do not ask for special-category information such as health, biometric, or government identifiers, and we do not knowingly collect information from anyone under 18. Please do not send us sensitive personal information through this website or by email.

2. How we use information

  • Responding to you. To answer enquiries, schedule and hold calls, and prepare relevant material for those calls.
  • Providing services. To deliver, support, and improve the services a client has engaged us for.
  • Marketing. To send business communications about our services, and to measure and target advertising.
  • Improving the site. To understand which pages and campaigns are useful, and to fix problems.
  • Security and legal. To protect the site and our business, prevent misuse, and comply with legal obligations.

Where the UK or EU GDPR applies, we rely on legitimate interests for business-to-business marketing and site analytics, contract for delivering services, consent where required for advertising cookies, and legal obligation where the law requires it.

3. Service providers

We use a small number of third parties to run this site and our sales process. They receive only what they need for their function, and are not permitted to use it for their own unrelated purposes.

These providers act as independent controllers or as our processors depending on the service. Their own privacy notices govern what they do with the data they collect directly.

4. Cookies, pixels, and your choices

The Meta Pixel is active on this site. It sets cookies and reports events, such as viewing a page or completing a booking, back to Meta so that we can measure advertising and show ads to relevant audiences. This is the main non-essential tracking on the site.

You can control this in several ways:

  • Browser controls. Every major browser lets you block or delete cookies. Blocking third-party cookies will stop most advertising tracking.
  • Meta's own settings. Meta provides ad preference and off-Facebook activity controls in your account settings.
  • Industry opt-outs. Tools at optout.aboutads.info and youronlinechoices.eu cover many advertising vendors.
  • Global Privacy Control. Where the law requires it, we treat a GPC browser signal as a valid opt-out of sharing for targeted advertising.

Essential cookies needed to serve and secure the site cannot be switched off, because the site will not work correctly without them.

5. Sharing and disclosure

We do not sell personal information for money. We share it only in these situations:

  • With the service providers in section 3, to run the site and our sales process.
  • For advertising, as described in section 4. Under California law, using advertising cookies to build audiences may be treated as "sharing" for cross-context behavioural advertising, and you can opt out using the methods above.
  • With professional advisers such as lawyers and accountants, where reasonably needed.
  • Where required by law, or to establish, exercise, or defend legal claims.
  • In connection with a merger, acquisition, or sale of assets, in which case we will tell you if your information becomes subject to a different policy.

6. International transfers

We are based in the United States and our providers may process information in the United States and elsewhere. If you are in the UK, EEA, or Switzerland, this means your information may be transferred outside your home country. Where those transfers need a safeguard, we and our providers rely on mechanisms such as the European Commission's Standard Contractual Clauses.

7. Retention

We keep enquiry and client information for as long as needed for the purpose it was collected, and afterwards only as long as we have a legitimate business or legal reason. In practice, enquiries that do not become clients are kept for our ordinary sales follow-up period, client records are kept for the life of the engagement plus the period required for tax, accounting, and legal purposes, and technical logs are kept on our providers' standard cycles. You can ask us to delete your information sooner using section 10.

8. Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, correct it, delete it, receive a portable copy, object to or restrict certain processing, withdraw consent, and opt out of targeted advertising. You also have the right not to be treated differently for exercising these rights.

To exercise any of them, email contact@aidasalessystems.com. We will verify your request, usually by confirming control of the email address on file, and respond within the time the applicable law allows. An authorised agent may submit a request on your behalf with proof of authorisation. If you are in the UK or EEA and are unhappy with our response, you may complain to your local supervisory authority.

9. Data we process for clients

When we run outbound or revenue systems for a client, we process contact and prospect data on that client's behalf and under their instructions. For that data the client is the controller and we act as processor. This policy does not govern that processing; the client's agreement with us does. If you were contacted as part of a campaign we operate for a client and want your details removed, email contact@aidasalessystems.com and we will action it and pass the request to the relevant client.

10. Security

We use reasonable administrative, technical, and organisational measures appropriate to the size of our business, including access controls, encryption in transit, and reputable providers. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

11. Changes to this policy

We may update this policy as our practices or the law change. The "last updated" date at the top always reflects the current version. Material changes will be made clear on this page.
